Negotiate a hotel alternative without weakening a requirement
Eine Voraussetzung höflich, aber eindeutig benennen
Distinguish general availability, a dated confirmation, indispensable criteria and negotiable preferences.
Grundsätzlich vorhanden does not guarantee availability on a particular date. The hotel explicitly leaves that confirmation open. The group can thank the hotel and still explain why an alternative fails a necessary condition. A flexible arrival time is a separate negotiable detail. No private health information is needed to formulate the access requirement in this case.
Das Zimmer ist grundsätzlich vorhanden, aber noch nicht bestätigt.
The room exists in principle but has not yet been confirmed.
Der stufenlose Zugang ist eine Voraussetzung der Buchung.
Step-free access is a prerequisite for the booking.
Vielen Dank, dass Sie nach einer Alternative gesucht haben.

Bei der Anreisezeit wären wir zu einer Anpassung bereit.

Do not treat a provisional offer as a confirmed booking, or assume a polite acknowledgement means acceptance of an unsuitable alternative.
Use a concession without surrendering the central condition: Auch wenn …, bleibt … erforderlich. Differentiate Voraussetzung from Wunsch. The passive confirmation zugesagt worden is not the same form as the resulting state zugesagt gewesen.
Write a 250–300-word German reply to the hotel. Acknowledge its effort, preserve both necessary requirements, explain the problem with the alternative, and offer one flexible detail. Ask for confirmation by the stated deadline without adding private circumstances.
