Separate process, state and responsibility

Vorgang, Zustand und Zuständigkeit auseinanderhalten

Read passive constructions precisely and make responsibilities explicit where a procedural text requires action.

Der Zugang wird geprüft describes a process; die Tür ist gesperrt describes a state. Der Defekt ist gemeldet worden reports a completed reporting event, not a completed repair. Passive voice shifts attention towards the affected item and can leave the agent unexpressed. This is not inherently wrong or dishonest. In operational writing, add an agent or use active voice when readers need to know who acts. Preserve tense and meaning when rewriting. Worden is the participle used with the perfect passive; geworden belongs to werden meaning become.

Der Zugang wird von der Haustechnik geprüft.

Access is being checked by the technical team.

Die Tür ist bis zur Freigabe gesperrt.

The door is closed to use until clearance.

Der Defekt ist der Haustechnik gemeldet worden.

The defect has been reported to the technical team.

Die Rezeption informiert die Gäste über den Ersatzweg.

Reception informs guests about the alternative route.

Eine abgeschlossene Meldung ist noch keine abgeschlossene Reparatur.

A completed report is not yet a completed repair.

Die Zuständigkeit muss dort genannt werden, wo eine Handlung erforderlich ist.

Responsibility must be stated where action is required.

Ist gemeldet worden does not mean ist repariert. A state such as ist gesperrt does not itself identify who imposed it or who may authorise access.

Process: wird + Partizip II. State: ist + Partizip II. Perfect passive: ist + Partizip II + worden. Active rephrasing must preserve action, time and named agent; it must not invent completion or permission.

Write a 250–300-word German handover note using the hotel protocol below. Separate the ongoing check, the current state and the completed report. Assign only the responsibilities explicitly provided. Explain why reporting a defect is not the same as repairing or releasing the door.
