Be polite without overpromising
Höflich antworten, ohne zu viel zu versprechen
Adapt an internal note into a clear customer reply while preserving the limits of confirmed information.
Register depends on audience and purpose. An abbreviated internal note and a reply to a guest can describe the same facts differently. A professional reply should acknowledge the concern, state what is confirmed and specify a feasible next step. A polite conditional question can request action, but politeness does not turn an unconfirmed reservation into a fact. A promise to reply by a time is different from a promise that the desired outcome will be available.

Self-consciously formal wording can still be vague. Conversely, a clear statement of what remains unresolved need not be impolite.
Könnten Sie uns den Eingang bestätigen? is a polite request. Wir melden uns bis morgen um zwölf Uhr promises a reply by that deadline, not a room reservation. Choose explicit actors and actions instead of piling up vague softeners.
Write a 250–300-word German response and brief explanation using the source. Distinguish receipt from confirmation, offer the stated reply deadline and justify why the proposed reservation guarantee must not be added. This is a language exercise, not a real booking.
