Be tactful without blurring a refusal or inventing a promise

Höflich bleiben, ohne Grenzen und Zusagen zu verwischen

Separate a definite limit, a proposed check and an unconfirmed response deadline.

Tact is not achieved merely by adding more hedges. A clear refusal can be respectful when it states the relevant limit and a realistic next step. The hotel cannot open earlier, can check a takeaway alternative and must clarify whether it can answer by 16:00. Keep these three statuses distinct. Könnten Sie …? and Würden Sie bitte …? can both form polite requests; neither is universally the only correct wording. Register choices depend on audience and context, while grammar tasks here specify the form being practised.

Eine frühere Öffnung können wir für morgen leider nicht anbieten.

Unfortunately, we cannot offer earlier opening tomorrow.

Gern prüfen wir, ob eine Alternative möglich ist.

We would be happy to check whether an alternative is possible.

Wir klären, ob wir Ihnen bis 16 Uhr antworten können.

We will clarify whether we can reply by 16:00.

Könnten Sie uns die Personenzahl mitteilen?

Could you tell us the number of guests?

Würden Sie uns bitte die Personenzahl mitteilen?

Would you please tell us the number of guests?

Eine höfliche Formulierung ersetzt keine bestätigte Zusage.

Polite wording does not replace a confirmed commitment.

Too many hedges may hide a definite answer. Courtesy does not require making a promise. Do not mark a valid polite variant wrong when the task has not constrained its wording.

Könnten and würden can soften requests in Konjunktiv II. A definite operational limit can remain in the indicative: können wir nicht anbieten. Prüfen, ob introduces an unresolved possibility; bestätigen, dass would claim an established result. Bitte does not itself change an unconfirmed option into a promise.

Write a 180–220-word German reply to the group. State the limit respectfully, separate the two open checks and request the number of guests. Add two alternative polite versions of that request and explain why neither guarantees the requested service.
